How to Get Carriers

DISPATCHER PACKET

The Dispatcher Packet consists of 3 documents that you as a Dispatch company need to create: 1. The Dispatcher Agreement; 2. The Limited Power of Attorney; and 3. The Carrier Profile. Each document serves it's purpose for your Dispatch company!

The Dispatcher Agreement is the contract that is established between YOU (the dispatcher) and the Carrier/Owner operator/Truck Driver so that you can find loads for them for a specific percentage (5 to 10%) of the gross amount of the loads.

The Limited Power of Attorney is the NOTARIZED DOCUMENT of the carrier giving you legal permission to represent them in matters of "onboarding" or getting them setup with brokers and booking loads.

2. Limited Power of Attorney

The Carrier Profile sheet is what the Carrier/Owner Operator/Truck Driver fills out telling you how they want to run, etc. Some of the items that are included in the profile sheet that the carrier sends to you are: Weight capacity, cents per mile (cpm.), short haul, long haul, etc.

Carrier’s MC AUTHORITY letter, issued from FMCSA (Federal Motor Carrier’s Safety Administration) in conjunction with DOT (Department of Transportation), showing the carrier as having a unique DOT# and MC#. The most common type of authority for owner operators, carriers, or truck drivers is a common carrier authority. Other types of authority include Contract, Passenger, and Household Goods (HHG).

Carrier’s Notice of Assignment (NOA). This form is optional. This is a form that a carrier’s “factoring company” presents to the broker or shipper in order to run their credit to see if they pay on time.

METHODS USED TO GET CARRIERS

1. TRUCK STOPS. If you can create some flyers and business cards for your dispatching services, you could then visit local truck stops and pass out your information. Even small goodie bags would be a great ice-breaker! First be sure to get permission from the management prior to posting to their bulletin boards.

2. COLD CALLS. Cold calls are first time calls to prospects that you have never spoken to before. You first would need a resource where you can get a carrier's phone number in order to make the cold call. The goal of the cold call with dispatchers is to get the carrier under a dispatcher agreement. There are several resources used to find carrier phone numbers to make “cold calls". Some of those resources used for cold calling are more updated than others, but here are some options:​​​

- Carrier section of the Trucking Planet Load Board (this data may be outdated)
- The REGISTER fitness area of the S.A.F.E.R. website

3. WORD OF MOUTH. Knowing other carriers in your area or having family members and friends who know carriers that may or may not need your dispatching services.

4. TEXT SCRIPTS. If you are not comfortable calling the carriers, you can perhaps start out by sending text scripts to their phones. Here is an example of a text script:

5. EMAIL CAMPAIGNS. Email campaigns are the last resort and the least effective way of getting carriers under a dispatcher agreement. The following is a sample of one:

6. SOCIAL MEDIA. Social Media sites, such as Facebook, Instagram or Twitter can be used to look up owner operators or motor carriers who need dispatchers. ​

7. LinkedIn. LinkedIn is also a great tool used to search for carriers and owner operators. If you have the Sales Navigator feature integrated within your LinkedIn account, you can get more detailed in your searches.
